In this privacy policy, we explain how we collect, use, and process your personal information when you access our website or associated mobile application (each, an App, and together, Apps), for delivery of our fitness coaching and tracking services under the brand FitTrek. Unless indicated otherwise, this privacy policy further applies to any related websites or other online properties owned or controlled by the Company (together with the websites and Apps, the Platforms). Services means all the content, services, information, and related functionality made available to you "as is" from our Platforms, including workout and diet plan generation, progress tracking, meal photo scanning, and trainer/gym management tools.

This Privacy Policy must be read in conjunction with the Terms and Conditions of the Platform you are using, available at fittrek.in. Please note that links from our Platforms may take you to external websites which are not covered by this policy. We recommend you check their privacy policies before you access, use, or share information with such sites. We are not responsible for the content, function, or information-collection practices of these external websites.

By accessing, downloading, or using the Platforms that we operate, which have a direct link to this Policy, you agree to be governed by this Privacy Policy. By agreeing to this Privacy Policy, you represent that you shall not access our Services by means of any mechanism or technology which conceals your actual geo-location or provides incorrect details of your location (for example, use of a virtual private network (VPN)). We shall not be responsible or liable for any processing or collection of your information if you use such mechanisms to access our Platforms and Services.

Information We Collect

We only collect your personal information where it is necessary to provide you with a service at your request, such as when you register an account, subscribe to our paid plans, use our AI plan-generation or meal-scanning features, or contact us. We describe the manner of our collection below.

Information submitted to us

You give us information about you whenever you use our Services, including by:

  • Accessing our Platforms by means of any web browser or device;
  • Registering for an account, as a client, trainer, or gym owner;
  • Subscribing to our paid Services;
  • Using our AI-generated workout or diet plan features;
  • Logging workouts, meals, weight, sleep, or other fitness data;
  • Uploading a photo of a meal or a nutrition label for macro estimation;
  • Enquiring about our products or Services;
  • Initiating and maintaining correspondence with us.

This information may include, but is not limited to:

  • Identification information — name, date of birth, gender, profile picture, height, location;
  • Contact information — email address, mobile number;
  • Fitness and health-related information — weight, body measurements, workout history, strength/personal-record data, sleep duration, dietary logs, fitness goals (e.g. muscle gain, fat loss), injuries or physical limitations you choose to disclose, and any other information relevant to generating and tracking your fitness plan;
  • Photographs — meal or food-label photos you upload for our photo-scanning feature, used solely to estimate nutritional content;
  • Social media / sign-in details — Google, Apple, or other sign-in provider details, used for account identification;
  • Payment information — this is collected and processed securely by our third-party payment processor (currently Razorpay) exclusively; we do not store your full card, UPI, or bank credentials on our own servers;
  • Additional information — one-time passwords sent for registration, marketing preferences, survey responses and feedback, and, for trainer or gym-owner accounts, business information such as client rosters and session schedules.

We take extra precautions to keep sensitive personal data — including fitness and health-related data — secure and confidential, and we retain it only for as long as necessary for the purposes for which it was collected.

Information we collect automatically

We collect information using cookies and similar technologies to distinguish you from other users and improve your experience. When you use our Platforms, we may collect:

  • Your IP address, device identifier, and general location (country, city, pin code);
  • A device identifier (cookie, IP address, Device ID, or advertising ID);
  • Details of the hardware and software you use to access the Platforms, such as device name, operating system, browser type and version, app version, screen size, and connection speed;
  • Any passwords or authentication tokens used to log in;
  • URLs accessed and timestamps;
  • Details of your activity on the Platforms — pages viewed, features used, links followed, workouts logged, and reports viewed.

Information we collect about you from other sources

We may also collect information about you from:

  • Publicly available information;
  • Information you have shared publicly, including on social media, which we may use to verify your identity when you sign in with a social account;
  • Interactions with our pages, groups, accounts, or posts on social media platforms.

This list is not exhaustive; in specific instances we may need to collect additional data for the purposes set out in this policy.

How Trainer, Client, and Gym-Owner Data Is Shared Within the Platform

FitTrek is built around trainers and gyms coaching clients, so some of your information is, by design, visible to other users of the Platform:

  • If you are a client of a trainer or gym on FitTrek, your assigned trainer can see the fitness and health data relevant to coaching you — your logged workouts, diet, weight, and progress reports — so they can do their job. Gym owners on a trainer's platform may see aggregated performance and retention data across trainers and members, but not necessarily each client's individual logs, depending on their account's access level.
  • Trainers and gym owners never see your payment or financial information. Billing and subscription data is handled exclusively between you, FitTrek, and our payment processor, and is not exposed to trainer or gym-owner accounts under any circumstances.
  • If you use FitTrek without a trainer (self-coached / AI-coached mode), your data is visible only to you and to Mikki Technologies Pvt Ltd as described in this Policy — it is not shared with any trainer or gym.

Purpose of Collection of Information

We collect information (including personal information) to provide the Services, including but not limited to:

  • To identify you when you log in and to associate your profile with an authorized account;
  • To generate personalized workout and diet plans using our AI-assisted tools;
  • To estimate nutritional content from photos you upload;
  • To track your progress and generate biweekly or periodic coaching reports;
  • To allow your trainer or gym (if applicable) to coach and support you effectively;
  • To provide gym owners with retention and performance visibility across their trainers and members;
  • To facilitate in-app purchases and make subscribed content available to you;
  • To improve the quality of our Services and personalize your experience;
  • To communicate with you, including service updates, offers, and support responses;
  • To comply with legal and contractual obligations;
  • To resolve queries related to your use of the Services;
  • For any other new features or services we or our affiliates develop.

Sharing and Use

  1. We may share your information with trusted partners or third parties who provide us with support services necessary to deliver the Services to you.
  2. We may share your information with Mikki Technologies Pvt Ltd–controlled businesses, affiliates, and subsidiaries (including other Mikki Technologies products), and with third-party service providers — including payment processors, cloud hosting providers, analytics providers, and email/communication service providers — strictly for the purposes described in this Policy. We do not sell your personal data to advertisers or unrelated third parties.
  3. Specifically, we may share information:
    • With our payment processor (currently Razorpay) solely to process payments — we do not receive or store your full payment credentials;
    • With cloud infrastructure and hosting providers, to securely store and operate the Platforms;
    • With email or messaging providers, to send you transactional or marketing communications you have consented to receive;
    • With your assigned trainer or gym, as described above, if you are coached through FitTrek's B2B platform.
  4. We may be required to disclose your personal information in exceptional circumstances, where we believe disclosure is:
    • Required by law, or to comply with judicial proceedings, court orders, or regulatory requirements;
    • Necessary to protect the safety of our employees, our property, or the public;
    • Necessary for the prevention or detection of fraud or crime;
    • Part of a merger, acquisition, or asset sale, in which case we will share your information with the prospective seller or buyer involved.

Data Retention

We store your personal information only for as long as necessary for the purposes for which it was collected, or as required by applicable law. Fitness and health data you log (workouts, diet, weight, progress) is retained for as long as your account remains active, so that trend-based features (such as progress tracking and correlation-based reports) continue to work correctly. If you delete your account, we will delete or anonymize your personal data within a reasonable period, except where we are required to retain certain records for legal, accounting, or dispute-resolution purposes.

Information Security

  • We take commercially reasonable technical, physical, and organizational steps to safeguard your information from unauthorized access, loss, misuse, or alteration.
  • Information is transferred securely (check for "https" and the padlock symbol in your browser).
  • All information is stored on secure servers. If you are given or choose a password, you are responsible for keeping it confidential and must not share it with anyone.
  • Although we take reasonable precautions, no system or transmission can be guaranteed completely secure. The Company will not be liable for damages arising from use of the Platform, including indirect, incidental, or consequential damages, or loss of data, to the extent permitted by law.

  • You have the right to correct inaccurate or incomplete personal data.
  • You have the right to withdraw your consent.

We may retain backup copies of your information where necessary to comply with legal obligations.

Cross-Border Transfers

We may transfer your personal information to Mikki Technologies Pvt Ltd's group companies or trusted third-party service providers located outside India, where necessary to provide the Services (for example, cloud hosting). We will only do so where we are satisfied the recipient jurisdiction, or the recipient itself, offers an adequate level of data protection consistent with applicable law, and we will put appropriate safeguards in place.

Children's Privacy

  • You must have attained the age of majority to use our Services independently. If you are a minor in your jurisdiction, your registration and use of our Services must be supervised by a parent or legal guardian.
  • As a parent or guardian, please do not allow a minor in your care to submit personal information to us without your supervision. If a minor's personal information is disclosed to us under your supervision, you consent to its processing and accept responsibility for their use of the Services.
  • If we become aware that we have collected personal data from a minor without appropriate consent, we will take steps to delete such information from our servers. Parents or guardians may contact our Grievance Officer for redressal of any related concerns.

Health and Fitness Disclaimer

FitTrek's AI-generated workout and diet plans, and any insights or correlations shown in your reports, are provided for general fitness and informational purposes only. They are not medical advice and are not a substitute for consultation with a qualified physician, dietitian, or other healthcare professional — particularly if you have a pre-existing medical condition, injury, or are pregnant. We expressly disclaim responsibility or liability for any damages or losses, direct or indirect, arising from reliance on AI-generated or trainer-provided content accessed through the Platforms. Always consult a medical professional before beginning any new exercise or diet program.

Changes to This Privacy Policy

Any changes we make to this Privacy Policy in the future will be posted on this page and, where appropriate, notified to you by email. Your continued use of the Services after such notice constitutes acceptance of the updated Policy. Please check back periodically for updates.
